The Three-Tier Communication Playbook: Write to the Tier, Deliver by the Rule, Keep the Record — Ontario's Writing & Service Rules in 20 Checks

Every message to a tenant carries a legal weight — and Ontario sorts them into three tiers: LTB forms no letter can replace, statutory writing with prescribed contents and delivery, and relationship letters where tone now carries six-figure fines. This free two-page playbook builds the whole system: the s.27 entry-notice template, the email-consent move to make at signing, the 5th-day mail math that keeps termination dates valid, the seven relationship workhorses, and the one record that wins hearings.

What's Inside

All 5 steps

  1. Sort every message by tier before you write it — LTB form, statutory writing, or relationship letter — and staple the cover letter TO the form, never instead of it
  2. Build the s.27 entry-notice template once: the reason, the date, a time window inside 8 a.m.–8 p.m., at least 24 hours ahead — the only notice the door can lawfully serve
  3. Capture email-service consent at lease signing (the Standard Lease has the section) — with addresses specified and a name and phone on every emailed notice
  4. Run the mail math: a mailed notice is deemed received on the 5th day — add it before any termination date, or the notice dies at the hearing
  5. Keep one exportable timeline per tenancy — every notice with its method and date, every consent beside its sent copies: the T2 defence, the N5 exhibit, and the L10 proof in one folder
